Purpose: This guide takes an administrator from initial setup to the first capacity review in Storage Growth Manager.
What the add-on does
Storage Growth Manager scans eligible hosting services for disk usage near the configured threshold. It presents used space, quota, utilization, and available storage offers so you can decide whether to contact the client. A scan is read-only: it does not change a hosting quota or send an email by itself.
Before you begin
- Use an administrator account with permission to manage add-on modules, support knowledgebase content, quotes, and invoices.
- Confirm that your WHMCS hosting server and cPanel/WHM usage data are available to the module.
- Create and price the storage add-on products that you intend to offer. The available offer list is drawn from WHMCS; the module does not invent the price.
- Review the WHMCS “Quote Delivery with PDF” email template and ensure the quote workflow settings reflect your intended process.
1. Review the module settings
- In WHMCS, open Configuration → System Settings → Addon Modules.
- Open Storage Growth Manager’s configuration.
- Set the Capacity alert threshold to the utilization percentage at which a service should be surfaced for review.
- Decide whether daily scanning, weekly quote activity reports, monthly revenue reports, automatic outreach, and quote follow-ups should be enabled. Set the follow-up interval to 0 to disable follow-ups.
- Keep automatic outreach disabled while you review the offer catalogue, email template, client cooldown and quote/payment workflow.
- Save settings, then return to Addons → Storage Growth Manager. The collapsible system-settings panel shows the current configured values.
2. Run a review scan
- Select Scan active hosting services.
- Review the completion message. It reports how many active cPanel services were checked and how many records need further review.
- Use the status filter to view Active, Suspended, or Disabled/Inactive records. Only eligible active services should be considered for outreach.
- Read each row’s used-versus-quota value, utilization percentage, suggested minimum increase, selected offer, and projected utilization after the upgrade.
3. Select an offer
Choose the storage add-on that meets the service’s suggested minimum and fits your pricing policy. Save the selected offer for that row. The projected utilization helps you compare how much headroom each option would provide.
4. Start with manual review
Use Preview email to inspect the client, recipient, offer, and usage message before outreach. The preview can be edited and saved. Approve an individual quote or select eligible rows for bulk approval. Bulk approval is limited to 25 selected clients per batch.
After sending, check Sent quotes for the sent date, manual/automatic source, quote link, response status, and resend action. The Automatically sent, Accepted & paid, and Excluded clients tabs provide their respective follow-up views.
Recommended launch sequence
- Confirm at least one correctly priced annual storage offer is available.
- Run a scan and review the recommendations and account matches.
- Preview and send quotes manually to confirm the wording and client journey.
- Confirm quote acceptance, invoice payment, add-on creation, quota application, and billing dates with a controlled test.
- Enable automatic outreach only after the end-to-end workflow and safeguards have been reviewed.
