This article explains how to prepare Storage Growth Manager to identify capacity risks and use the storage offers configured in WHMCS.
Capacity threshold
Capacity alert threshold (%) controls when a service is considered close enough to its allocated disk limit to create or refresh a recommendation. Choose a threshold that gives clients time to act before the account reaches its limit. The displayed utilization is used space ÷ quota × 100; values above 100% mean reported use is already greater than the recorded quota.
WHMCS storage offers
The Action column lists the available storage add-ons and their recurring prices. The module reads these offers from the WHMCS catalogue rather than maintaining a separate package list. Before outreach:
- Confirm the add-on is active and has the intended annual price and billing cycle in WHMCS.
- Confirm its name and storage amount clearly describe what the client is purchasing.
- Ensure the offer’s storage quantity can satisfy the suggested minimum increase shown in the row.
- Select the offer per recommendation and click Save offer. Review the projected utilization after the increase.
The potential annual recurring revenue column shows the selected offer’s annual amount and monthly equivalent. Treat this as potential revenue until the quote is accepted and its invoice is paid.
Client and service eligibility
Use the status filter to compare Active, Suspended and Disabled/Inactive clients or services. Status colours help you distinguish them. Quote actions are intended for eligible active services. If the module cannot confidently match the WHMCS service, server or WHM account, it may skip the record and report that it needs review rather than send a quote.
Daily scan and reports
- Scan once per WHMCS daily automation run schedules read-only scanning with WHMCS automation. A scan alone does not send quotes.
- Weekly quote activity email sends an administrator report of recent quote activity to WHMCS system notification recipients when there is new activity. Set the interval in days; the intended default is 7.
- Monthly storage revenue summary reports quote sends, acceptances, payments, the month’s new annual recurring revenue and the all-time attributed total.
Each report can be disabled independently in the module settings.
Safeguards for client communication
- Client quote email cooldown limits new quote emails to a client. The configured default is 30 days.
- Follow up on open quotes sends a follow-up for eligible open quotes after the chosen number of days. Set it to 0 to disable follow-ups.
- Automatically create and email eligible storage quotes enables daily automated outreach. Keep it off until offers, templates, email wording and the payment/provisioning flow have been verified.
- Enable quote and payment workflow and Quote email template reviewed are workflow gates. Automated quote sending requires the relevant workflow safeguards to be enabled.
For first-time setup, begin with manual review and preview. See Getting Started with Storage Growth Manager and the manual quote guide.
