This guide describes the quote-to-payment-to-quota sequence and the checks an administrator should perform after payment.
Client acceptance and checkout
- The client opens the secure WHMCS quote link and accepts the quote while signed in to the correct client account.
- WHMCS creates the payable invoice for the accepted quote. The client should be directed to that invoice/checkout immediately after acceptance.
- The client pays using the invoice payment method. A quote acceptance alone does not activate or provision the extra storage.
After PayFast confirms payment
- WHMCS records the invoice as Paid after it receives and validates the payment confirmation.
- Storage Growth Manager reconciles the paid quote and creates the recurring storage add-on associated with the hosting service.
- The configured storage module runs to apply the quota increase to the hosting account.
- The module verifies the resulting quota and records the upgrade status in the Accepted & paid tab.
The workflow is designed to apply only the approved storage offer, preserve the existing hosting service’s paid term, and avoid creating a second charge for the same upgrade. The storage add-on has its own recurring billing record and the quote’s billing terms.
Verify the result
Open Accepted & paid and check:
- Quote accepted date and outreach source.
- Invoice number and status. It must show Paid before provisioning is considered complete.
- Paid amount and annual recurring amount.
- Upgrade status. The normal successful end state is Provisioned or Quota verified, depending on the version’s status wording.
- The add-on on the client’s hosting service and the increased disk quota reported by WHM/cPanel.
- Next due/billing dates for the new add-on, while the original hosting service’s due date and paid term remain unchanged.
If provisioning reports an error
- Do not manually create another invoice or storage add-on for the same paid quote.
- Open the client’s service and confirm the invoice is Paid, the approved add-on exists, and the current quota in cPanel/WHM.
- Check the WHMCS Activity Log and the module’s Accepted & paid row for the exact error. Resolve server access, account matching, add-on configuration or module-command issues before retrying.
- If the row offers Verify existing paid invoice/add-on, use it to reconcile the already-paid workflow and apply/verify the approved quota. This action is intended to avoid another charge.
- Recheck the hosting quota and billing dates. If the outcome is still unclear, report the quote ID, invoice ID, service ID, displayed status and error text to Plutus Hosting support.
Safe testing
For a controlled test, use a client/service you own and an agreed test offer. Record the starting quota, existing hosting due date and add-on list before beginning. Confirm the invoice is paid, the quota has increased once, the new add-on has the correct recurring price and due date, and the original paid hosting term has not changed.
